Your responsibilities:

1. Support internal clients

  • Analyze requests submitted by ER colleagues and other internal clients and respective requirements to sel ect the best fit fr om the available pool of contractors.
  • Negotiate project budgets and deadlines with both parties (requesters and contractors).
  • Liaise between requesters and contractors, responding immediately to new inputs or changing deadlines.

2. Manage external contractors

  • Hand over materials and pass on revised assignment inputs to contractors (translators, editors, and proofreaders) and other service providers.
  • Address any issues arising in the course of handling daily tasks.
  • Maintain transparent and efficient communication related to managing contracts, certificates of completion, and other documents.
  • Ensure timely project delivery.

3. Manage paperwork

  • Prepare and negotiate contractor agreements with the support of the legal department.
  • Ensure timely handover of bills and closing documents.
  • Prepare payment schedules and monitor their execution together with the finance department.
  • Keep contractor records in the e-document management system.

4. Provide administrative support within the department

  • Manage the contractor list, update the list of delivered projects and their budgets.
  • Help optimize internal department processes.

Your qualifications:

1. At least one year of similar experience (contractor and paperwork management, task execution monitoring).

2. Solid 1С and e-document management skills.

3. Orderliness, ability to plan ahead and juggle several tasks simultaneously.

4. Strong multitasking skills and ability to immediately adjust to changes.

5. Well-honed communication skills, ability to foster relations with both internal and external partners.

6. Confident written English (Intermediate or above) would be considered an advantage.
